1. Why this Privacy Policy?
ARTEMIS — Alliance for Regional Transition, Equality, Mobility, Inclusion and Sustainability (“ARTEMIS”, “the Alliance”, “we”, “us”) is an alliance of eight European higher-education institutions, co-funded by the European Union under the Erasmus+ “European Universities” initiative and coordinated by Université Clermont Auvergne (UCA). This document applies to the Alliance website eu-artemis.eu (“the Website”).
We are committed to protecting your privacy and your personal data. This Privacy Policy explains what personal data we collect through the Website, why we collect it, on what legal basis, how long we keep it, with whom we share it, and the rights you have. The processing of personal data is carried out in accordance with Regulation (EU) 2016/679 (the General Data Protection Regulation, “GDPR”) and applicable national data-protection law.
2. Who is responsible for processing your personal data?
The Website is operated on behalf of the ARTEMIS alliance by its coordinating institution, which acts as the data controller for personal data processed through the Website:

Where personal data are processed jointly by several partner universities for shared alliance activities (for example joint events or mobility actions), the institutions concerned act as joint controllers within the meaning of Article 26 GDPR, and the essential terms of their respective responsibilities are made available on request.
3. What personal data do we process?
Depending on how you interact with the Website, we may process the following categories of data:

We do not knowingly collect special categories of personal data (Article 9 GDPR) through the Website, and we ask you not to submit such data via contact forms.
4. For which purposes do we process your data?
- To respond to your enquiries and requests submitted through contact forms or by e-mail.
- To send newsletters and information about the Alliance’s activities, where you have subscribed.
- To manage registrations for events, webinars, calls and mobility actions.
- To operate, secure and improve the Website and to produce aggregated, anonymised audience statistics.
- To comply with our legal obligations and, where relevant, with the requirements of the Erasmus+ programme.

6. Who receives your personal data?
Your personal data are accessed only by authorised staff of the coordinating institution and, where relevant, of partner universities, on a need-to-know basis. We may share data with the following categories of recipients:
- Processors acting on our behalf (e.g. website hosting, e-mail and newsletter services, analytics providers), bound by data-processing agreements under Article 28 GDPR.
- Partner universities of the Alliance, where necessary for jointly organised activities.
- Public authorities and EU bodies (including EACEA), where required by law or by the terms of the Erasmus+ grant.
We do not sell your personal data or share it for third-party advertising.
7. International transfers
Personal data are processed primarily within the European Union / European Economic Area. Where a processor transfers data outside the EU/EEA, we ensure appropriate safeguards are in place (an adequacy decision or Standard Contractual Clauses pursuant to Articles 44–49 GDPR).
8. How long do we keep your data?
- Contact enquiries: for the time needed to handle your request and a reasonable period thereafter.
- Newsletter data: until you unsubscribe or withdraw your consent.
- Event / mobility data: for the duration of the activity and any period required for reporting to the funding programme.
- Technical / analytics data: for a limited period in line with the retention set in the Cookie Policy.
After these periods, data are deleted or irreversibly anonymised.
9. What are your rights?
Subject to the conditions set out in the GDPR, you have the right to:
- access your personal data (Article 15);
- request rectification of inaccurate or incomplete data (Article 16);
- request erasure of your data (Article 17);
- request restriction of processing (Article 18);
- object to processing based on legitimate interests or to direct marketing (Article 21);
- data portability (Article 20);
- withdraw your consent at any time, without affecting the lawfulness of processing carried out before withdrawal.
10. How to exercise your rights
You can exercise your rights or contact our Data Protection Officer by writing to dpo@uca.fr or to the general alliance address artemis.drif@uca.fr. We will respond within one month, a period that may be extended by two further months for complex requests, in which case we will inform you.
11. Right to lodge a complaint
If you consider that the processing of your personal data infringes data-protection law, you have the right to lodge a complaint with a supervisory authority. As the coordinating institution is established in France, the competent authority is the Commission Nationale de l’Informatique et des Libertés (CNIL — www.cnil.fr). You may also contact the supervisory authority of your country of residence.

13. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The version in force is the one published on eu-artemis.eu, identified by the “Last updated” date shown on the cover.
